Terms of Service

GreenFile turns South African regulation into a managed, per-industry subscription: an auto-generated regulatory calendar, document templates, audit-grade registers, checklists, workflows, risk assessments, and tracked training — scoped to the industry packs you subscribe to. Every account includes the free SA Compliance Baseline; paid industry packs are available by subscription.

GreenFile is operated by Astrium Software Solutions CC, registration number 2002/061588/23, with registered address at 675 Saranton Estate, 678 Cedar Avenue West, Sandton, Gauteng, 2191. General enquiries may be sent to support@greenfile.co.za.

GreenFile helps you organise, track, and evidence your compliance obligations. It is not a law firm and does not provide legal advice. Our content, templates, and reminders are general and may not fit your specific circumstances. You remain responsible for your own compliance, and you should obtain professional or legal advice where your situation requires it. We make no warranty that using GreenFile guarantees compliance with any law or regulation.

You are responsible for keeping your sign-in credentials secure and for activity that happens under your account. Provide accurate registration information and keep it up to date. Tell us promptly if you believe your account has been compromised.

You agree not to:

• use the service for any unlawful purpose or in breach of any applicable law;
• attempt to gain unauthorised access to the platform, other accounts, or our systems;
• probe, scan, scrape, or disrupt the service or its security controls;
• misrepresent your identity or upload content you have no right to upload.

The SA Compliance Baseline is free. Industry packs are paid, on a monthly or annual subscription. Prices are shown in South African Rand.

• We apply the same customer-friendly cancellation and refund rules irrespective of customer type or sales channel. Any greater non-waivable statutory right continues to apply.
• An eligible pack may begin with a 30-day trial. A trial will not convert to a paid subscription without explicit checkout and payment authorisation.
• Before payment we show the price, billing frequency, renewal arrangement, cancellation method and refund rules.
• A customer may cancel the first paid subscription without reason or penalty within 7 business days after first paid activation. Immediate access does not remove this cooling-off right. We refund the first payment within 15 business days after a valid cooling-off cancellation.
• A monthly subscription may be cancelled at any time to prevent the next renewal. Access continues through the current paid month and no further renewal is due after cancellation takes effect.
• For an annual renewal, we give at least 40 business days' notice of the renewal date, price and cancellation method. We provide a full refund when cancellation is requested within 7 business days after the annual renewal charge.
• Outside the annual renewal refund window, an annual subscription may be cancelled on 20 business days' notice. We refund unused complete months and charge no cancellation penalty.
• Duplicate, erroneous and post-cancellation charges are refunded in full.
• If a recurring payment fails, GreenFile may retry collection and allow a 7-day grace period. Access may become restricted, read-only or suspended if payment is not recovered.
• Cancellation, renewal-notice and refund processing are currently supported by manual operational controls. Astrium records the request and outcome and reconciles the local subscription against PayStack; no automated refund engine is represented as live.

Send a cancellation or refund request to info@astrium.co.za. Corne Beukes owns the operational decision and our target is to send an initial response within 48 hours. That target is not a promise that every investigation or payment-provider refund will be completed within that initial-response period.

The compliance content you create in GreenFile remains yours. We process it to provide the service and handle personal information as described in our Privacy Notice. Our registers are append-only by design, so your audit trail is preserved.

The platform, its software, and the template and advisory content are owned by Astrium Software Solutions or its licensors. We grant you a limited, non-exclusive licence to use them for your own business's compliance while your subscription is active. The content you create remains yours.

We continually improve GreenFile and may add, change, or remove features. We aim for high availability but do not guarantee that the service will be uninterrupted or error-free. We will give reasonable notice of material changes that affect you.

The service is provided on an “as is” and “as available” basis. Astrium will provide it with reasonable care and skill, subject to availability, maintenance, security and third-party dependencies. We do not warrant uninterrupted or error-free operation, that every item of content applies to your facts, or that using GreenFile alone makes you compliant.

To the extent permitted by law, Astrium's aggregate liability arising from the affected service is limited to the fees paid or payable for that service during the 12 months preceding the event giving rise to the claim. To the extent permitted by law, Astrium is not liable for indirect or consequential loss. Nothing in these terms excludes or limits a liability, warranty, remedy or statutory right that applicable law does not allow us to exclude or limit.

You may stop using GreenFile at any time. We may suspend or terminate access where these terms are breached, where required by law, or to protect the service and its users. On termination you can request an export of your data, subject to our retention obligations.

These terms are governed by the laws of South Africa. After written notice of a dispute, authorised representatives will first try in good faith to resolve it for 10 business days. If it remains unresolved, the parties will attempt mediation before approaching a court with jurisdiction in Gauteng. This process does not prevent urgent relief or the use of a mandatory consumer, regulator or statutory forum.

We may update these terms from time to time. The current version is always published on this page; where changes are material, we will give reasonable notice.
